Who this policy covers
This policy describes Eastern Snow’s handling of personal information through easternsnownl.com, its Eastern Snow website and client-portal addresses, and related residential snow-clearing operations. It covers prospective clients, clients and people contacting us. Separate employee arrangements are outside its scope. Eastern Snow is responsible for the personal information under its control, including information processed by service providers on its behalf.
Contact Eastern Snow at 709 986 5702. For personal-information requests, ask for the person responsible for privacy. For written service notices, use the supplier contact details on your quote or service agreement. Please do not send passwords, full card numbers, or unnecessary sensitive information.

Information we collect
- Contact and application details: your name, email, telephone number, service address, unit, town, province, postal code, driveway capacity, walkway selection, shared-driveway answer, instalment preference, referral source, communication preference and details you choose to provide.
- Property and service records: selected address coordinates, access instructions, service dates, route position and progress, and relevant crew notes or property photographs when collected for service delivery, safety, documenting completed work or resolving an issue. Avoid including identifiable neighbours or unnecessary personal details in notes or photographs.
- Account and document records: email, password hash, account activation and session records, contracts, quote acceptance, typed signatures and timestamps, invoices, receipts and instalment balances. Passwords are hashed rather than stored as readable passwords.
- Payment records: amounts, dates, method and reference for payments recorded by Eastern Snow. Do not send bank login details or payment-card numbers through a quote form or support message.
- Technical information: IP address, browser/device information, request URLs and times, errors and security events handled by our hosting and security systems. Portal sign-in protection uses hashed identifiers derived from IP addresses and email addresses.
Most information comes from you, your authorised representative, or our staff providing service. Address suggestions use public civic-address data; they do not identify occupants. We may receive information you send through a social-media platform under that platform’s own privacy practices.

How we use information
We use information to calculate and review quotes, assess property suitability, contact you about an application, prepare agreements, schedule and provide service, manage instalments and payment records, provide your portal, respond to issues, prevent misuse, maintain our systems and meet legal obligations. Only the necessary property and service details should be made available to crew members carrying out your service.
The Crew arrival view shows progress and estimates from your route, not vehicle GPS tracking. Your property coordinates describe the service location; the quote form does not need permission to track your device’s location. Other clients’ names, addresses, notes and photos are not displayed in your tracking view.

Your choices and consent
The quote form explains the use of your information before you apply. Calculating a total does not submit an application. Address text may be sent to our address-search endpoint as you type; the local catalogue is searched first, with a City of St. John’s municipal lookup as a fallback. When that fallback is used, the search text is sent to the municipal address service. Hosting/security systems may log these requests.
By submitting details for an application or requesting service, you authorise the uses reasonably necessary to handle that request, as explained here. We seek additional consent where a new purpose requires it, unless the law permits or requires otherwise. You may withdraw consent by contacting us, subject to legal or contractual limits. We will explain if that means we cannot continue a requested service. Declining optional marketing does not affect a quote or service.
Optional news and offers are separate from service, billing and security communications. If you opt in, you may withdraw that choice by contacting us or using the unsubscribe method in a marketing message. An enquiry or website visit alone is not blanket consent to marketing. We retain relevant consent and withdrawal records. Essential service messages may still be needed to administer your account.

Where information is processed
Our service is based in Newfoundland and Labrador, Canada. Using cloud infrastructure does not mean that all processing, support, logs or backups remain in Canada. Providers may process information in Canada, the United States or other countries, where local authorities may have lawful access. Eastern Snow remains accountable for information transferred to providers for processing and must use appropriate contractual and organisational protections. Retention and deletion
We retain personal information for the purposes for which it was collected, necessary service administration, dispute handling and applicable legal obligations. Retention depends on the record and its relevance; it is not an unlimited right to keep everything forever. Records no longer needed should be securely deleted, anonymised or otherwise disposed of, including through the normal backup lifecycle.
Tax and accounting records generally need to be kept for at least six years after the end of the last tax year to which they relate; other legal requirements or an outstanding dispute may require longer retention. Account closure or a deletion request does not automatically erase records that must be retained. The portal login cookie lasts up to 12 hours and is cleared on logout. Safeguards and privacy incidents
Our systems use HTTPS, hashed portal passwords, limited staff access and authenticated access to client records. Safeguards must remain proportionate to the sensitivity of the information, including protecting devices, account credentials, exports and operational records. No website or transmission method is completely secure. Keep your password and private document links confidential, log out on shared devices and contact us if you suspect unauthorised access.
We investigate suspected privacy incidents and take appropriate containment and corrective action. Where applicable law requires it, we notify affected individuals and the appropriate regulator and keep required breach records.

Access, corrections and complaints
You may ask about the existence, use and disclosure of your personal information, request access or a correction, withdraw optional consent, or raise a privacy complaint by contacting Eastern Snow. We may verify your identity using proportionate information before releasing records. We respond within applicable legal timelines, generally 30 days for a PIPEDA access request, subject to lawful extensions and exceptions. Where information is withheld, we will explain the reason to the extent permitted.
You may also contact the Office of the Privacy Commissioner of Canada. Contacting Eastern Snow first does not remove your right to contact a regulator.

Children, external sites and changes
The quote and account services are intended for adults authorised to arrange service for a property. We do not intentionally request children’s personal information. Contact us if a child has provided information so that we can address it appropriately.
Our Cookie policy explains browser storage. External sites and social-media in-app browsers have their own practices. We update this policy when our practices change and display the new effective date. A policy update does not retroactively authorise materially different uses; additional notice or consent will be provided where required.

Public blog reactions — added October 2, 2026
Anyone can read the blog without registering. Article hearts are associated with a hashed random browser identifier and an article ID, rather than a reader profile. We use hashed network identifiers for short-term reaction rate limits. Browser identifiers can change when cookies are cleared or a different device is used, so heart counts do not represent verified individual people. Staff authors’ display names appear on published articles.
